How to Organize Meeting Notes Automatically with Routines

How to organize meeting notes automatically: each summary and action item routed to the right Slack channel, Jira project, and inbox.

The exact prompt

Paste this into a new routine.

Take the meetings I recorded today and file them where they belong. For each meeting, post a short summary to the most relevant Slack channel, turn the action items into Jira tickets with owners and due dates in the right project, and draft any follow-up emails to attendees that the meeting called for. Show me everything you plan to post, create, and send so I can approve before anything goes out.

FAQ

Questions about this recipe.

How is this different from the Meeting Notes recipe?

Meeting Notes writes up summaries and action items into your local history. Auto-Filing goes further: it routes that output to Slack, creates Jira tickets, and drafts follow-up emails, so the notes actually turn into action.

Does it post and create tickets without asking?

No. It proposes every Slack post, Jira ticket, and email and shows them to you first. Through the approval gate, nothing goes out until you click approve.

Where do the meeting notes come from?

From the meetings you record in Routines. The audio goes to Deepgram for transcription with speaker separation and model training switched off, and the routine reads those transcripts and summaries from local SQLite on your Mac.

Are my recordings and tokens safe?

Yes, with one hop worth naming: the meeting audio goes to Deepgram for transcription with model training switched off, and the transcript is then stored in local SQLite. Connector tokens are encrypted locally and refresh silently. The transcript text goes to the AI to be summarized, through Routines AI, which stores none of it, or straight to your provider on your own key, and the only thing posted anywhere else is what you explicitly approve sending to Slack, Jira, or Gmail.
